
Scope of Services
We, at KayBar, know what exceptional and reliable service means. We’re committed to providing clients with a wide range of options, all with guaranteed quality and precision. From the beginning stages of the project all the way to the completion of the process, we work side-by-side with clients every step of the way.
Consulting Services
Consulting services shall be offered by Kaybar from the conception of your plan until the property is acquired and/or pre-construction begins. Consulting services shall include helping Owner with the following:
A. Investigation Stage.

Develop a full plan of what it wants to construct, including the size of the Project and the number of people to be housed at the Property. This also includes reviewing your business plan and helping with that as well;

List out what it is building and the approximate size and costs;
-
Create a presentation that can be given to a realtor to properly find the Property needed, present it to the city or county for zoning review, and create costs for construction;
-
Calculate its income versus operating costs;
-
Be present on calls with its realtor and guide Owner to find the correct Property; and
-
Review all property site plans and guide Owner through the property sales agreement.
B. Due Diligence Stage.

Create a base map of the subject property (test fit drawing to ensure the buildings needed fit on the Property).

Prepare two concept plans based on the development regulation and development criteria.

Research readily available zoning information to see what the Property is zoned for and if re-zoning will be needed.

Attend meetings or calls with the city or county regarding the feasibility of the Project on the Property.

Help develop operation and maintenance plans.
-
Help with all funding paperwork regards to construction.
-
Look into sewer, water, and utilities.
-
Help hire a company to do a GEO tech review on the land and supervise their work. If it is an existing building, review the structure, and renovation costs.

Build a plan showing the estimated costs of each phase of the Project for proper funding and Help with Property closing
Planning & Pre-construction Services
Planning and pre-construction services to be provided by KayBar include, but are not limited to, cost estimating, value engineering, scheduling, construction phasing, constructability review, weekly design review meetings with the Owner, input from key subcontractors as to building systems, and means & methods of construction.
Preconstruction Services will be further defined in an executable Preconstruction Service Agreement; however, such services shall include but not be limited to the following:

Help hire the architect and engineering firm;

Prepare a preliminary estimate/budget and schedule based on the available information to date;

Recommend a Construction Contingency based on the estimate/budget and the available information;
-
Review design and perform value engineering to and provide alternative materials, means or methods of construction that will result in time and/or cost savings;

Assist Architect in the development, completion, and coordination of Construction Documents by providing information regarding constructability, means, and methods, site logistics, cost, all RFI's to date and schedule;
-
Advise Owner on how the Construction Documents will be divided into Subcontracts for various trades and provide recommendation on buyout strategy to obtain greatest savings;

Identify and evaluate items requiring long-lead time procurement and develop a strategy for timely purchase;
-
Prepare Subcontract bid packages including Bid Form, Trade Scope of Work, Project Schedule and relevant Subcontract Schedule, Unit Pricing and Labor Rates (where applicable), Insurance Requirements;

Review and level Subcontract bid packages and prepare recommendations to the Owner for Subcontract awards;
-
Attend Owner, Architect, and Contractor (OAC) meetings and prepare and issue minutes. Attend any other meetings as necessary at times, including public meetings; and
-
Prepare and submit a final budget (the Project Budget) for approval of the Owner, based on Subcontract bids at either the completion of the Design Development or Construction Document phases
Construction Management Services
Construction Management Services shall be defined and agreed upon in an applicable modified form of Agreement Between the Owner and Construction Manager as Contractor (the Construction Management Agreement), including General Conditions of the Contract for Construction. Services shall include but not be limited to the following:

At project start-up, establish and implement a project controls system and communication and reporting plan;

Ensure the project is complying with state and local codes;
-
Hold pre-construction meetings with all contractors and Architect;
-
Run the entire project turnkey, all trades will report directly to KayBar;
-
Endure the project is completed as per plans and specifications;
-
Provide site supervision throughout the project in order to monitor and report on all activity on- site during the entire construction process, including the coordination of the work of all trades and the Owner's direct Subcontractors and Vendors

Schedule, lead, and document construction meetings with Subcontractors and OAC meetings. Prepare and issue minutes of meetings, including "open" action items and task responsibility;

Ensure that project Quality Assurance, Quality Control (QA/QC) controls, and Site Safety controls are being met, and any observed deficiencies are rectified in a timely manner;

Establish procedures, manage, review and submit RFIs, shop drawings, and submittals for consultant review and assist in the resolution of any issues and objections. Maintain and report a log of each;

Manage change events and change orders. KayBar shall review, estimate, negotiate and advise on all change orders;
-
Administer and issue monthly requisitions for payment on a percent complete basis provided in an industry-standard format and ensure compliance with project cost reporting;
-
Prepare, produce and maintain a cost reporting and forecasting system to track and monitor project expenses;
-
Monitor progress, update schedule monthly, anticipate and resolve any issues and work with Subcontractors to ensure that project milestones are being met; and
-
Prepare and issue project monthly reports to the Owner, including an Executive Summary, Anticipated Cost Report, and updated Project Schedule.
Project Close Out Services
KayBar prides itself on being proactive and attentive from the start of construction
to ensure an efficient project close-out process. Services generally include, but are not limited to

Submit all final waivers and release of lien documents from Subcontractors and Suppliers;
-
Provide as-built documents, warranties, operating and maintenance manuals, and training, as per contractual obligations;
-
Assist the Owner with Building Department and other applicable agency sign-offs and provide documents that are KayBar's responsibility in a timely manner; and
-
Manage and expedite the completion of punch list items and coordinate activities to minimize disruptions to occupants, if occupied.
